WELCOME to TheArabiClub.com Terms & Conditions
Please read these Terms of Service (the “TOS”) and the TheArabiClub.com Privacy Policy and Behavior policy prior to registering for TheArabiClub.com or using any portion of the TheArabiClub.com website (the “Site,” which consists of all content and pages located within the TheArabiClub.com web domain), including accessing any course material, chat rooms, or other electronic services. These TOS, the Privacy Policy and the Behaviour Code are agreements (may be hereinafter referred to, collectively, as the “Agreements”) between you and TheArabiClub.com. By using the Site, you accept and agree to be legally bound by the Agreements, whether or not you are a registered user on the Site.
TheArabiClub.com reserves the right to modify these TOS at any time without any advance notice to you. Any changes to these TOS will be effective immediately upon posting on this page or on any other section of the Site. By accessing the Site after any changes have been made, you signify your agreement to the modified TOS and all of the changes contained therein.
The agreement will remain in force until the pupil concludes their education with TheArabiClub.com or is either voluntarily withdrawn by parents by completing a leaving form or excluded by way of authority granted by these terms and conditions.
DESCRIPTION OF TheArtabiClub
The Online Arabic Club is a privately owned online educational platform that aims to utilize technology to promote Arabic classes for all by offering contemporary and accessible courses to students from a wide-spectrum of backgrounds, expertise and demographics in an endeavour to bridge the gaps in communication between cultures. No matter where our pupils are in the world, we can deliver the standard of teaching that meets their needs, supports their achievement and drives their development.
Authority of the Heads of TheArabiClub.com
Parents authorise the Heads of TheArabiClub.com or Behaviour and Wellbeing Manager of TheArabiClub.com, or their nominated deputy, to take such action as the Education or Behaviour and Wellbeing Manager may consider being in the best interests of the pupil on a day to day basis.
Provision of Education
TheArabiClub.com shall endeavour to do all that is reasonable to provide a suitable educational environment for every enrolled pupil. Although we strive for excellence in the educational advancement of our pupils, TheArabiClub.com cannot guarantee that the pupil will achieve their desired level without additional and required efforts from their parents/carers.
Timetables
Timetables are created by TheArabiClub.com before the pupil’s intake date. Timetables are created to maintain small class sizes. If a prospective family has timetable constraints, they can submit a timetable request via the enrolment application form. TheArabiClub.com will endeavour to accommodate timetable requests, but there is no guarantee that requests will be met.
Timetables are designed to ensure there are no clashes within each year group. TheArabiClub.com will endeavour to prevent clashes within the timetable; however, if a family chooses to enrol in multiple year groups, TheArabiClub.com cannot guarantee that clashes will not occur.
The timetable is subject to change.
Fees
TheArabiClub.com offers 3 options for payment of fees.
If paying Annually, fees have to be paid in full by Bank Transfer prior to registration. Full payment must be made within 14 days prior to the academic year starting.
If paying termly fees have to be paid by Bank Transfer, you are expected to pay one third of your fees (i.e. £150) by Bank Transfer within 14 days prior to the start of the term.
Monthly fees are paid by Bank Transfer every month and spread over 36 weeks from September to July (i.e. £60 /per month) in addition to £60 deposit which will be calculated towards the total cost of £540. payment must be made within 7 days prior to the end of current month.
All fees and other expenses payable are set out on the TheArabiClub.com website
TheArabiClub.com will seek to keep fees stable but reserve the right to increase fees from year to year if needed with at least 30 days prior notice. Liability to pay fees and any other additional expenses is the responsibility of the parent or carer.
Fees of a pupil which have not been paid in full or agreed through a payment plan before the start of term may be excluded until the necessary amount is paid. Parents are liable to pay all costs, fees, disbursements and charges including legal fees and costs reasonably incurred by TheArabiClub.com in relation to the recovery of any unpaid fees irrespective of value of the claim.
Changing Plan of Payment
Changes to your payment option can be made on a term-to-term basis. If you would like to change your plan of payment, we will require at least 28 days’ notice prior to the end of the previous term. This only applies to monthly and termly payment frequencies.
- Termly Payments
Termly payments are paid in advance of term commencing and they are non-refundable. Full payment must be made within 14 days prior to term starting.
If paying termly, you can change your plan prior the start of the 2nd term. Then you will be legible for 25% of the total fees of (£540).
For example, the total of termly payment plan is £450. If you would like to pay your fees in full prior to the start of the 2nd term (£150+£150), we will apply 25% discount of the total fees of (£540).
Under such scenario, you will be charged £150+ £270 = £420 (instead of £450).
- Monthly Payments
If you are on a monthly payment you are liable to pay a total amount of £540 for the full academic year. If you would like to pay your fees in full throughout the year, you need to notify us at least 15 days prior to the start date of the commencing term.
Scenario No One: you are on a monthly payment and if you decided to change your plan prior the start of the 2nd term, then you will be legible for 25% of the total fees of (£540).
For example, the total of Monthly payment plan is £540. If you would like to pay your fees in full prior to the start of the 2nd term, we will apply 25% discount of the total fees of (£540).
Under such scenario, you will curry paying monthly till the end of the 1st term, a total amount of £180 (£15 X 12 weeks). Then we will apply 25% discount off the total fees of £540 (i.e. £270.).
Under such scenario, you will be charged £180+ £270 = £450 (instead of £540).
Scenario No Two: you are on a monthly payment and if you decided to change your plan prior the start of the 3rd term, then you will be legible for 25% of the total fees of (£540).
For example, the total of Monthly payment plan is £540. If you would like to pay your fees in full prior to the start of the 3rd term, we will apply 25% discount of the total fees of (£540).
Under such scenario, you will curry paying monthly till the end of the 2nd term, a total amount of £360 (£15 X 24 weeks). Then we will calculate the remaining fees based on the total Termly payment plan (i.e. £150).
Under such scenario, you will be charged only £510 (instead of £540). (£360 for the first 2 terms+ £60 deposit + £90 = £510 (instead of £540).
Incompletion of Agreed Payment(s)
If a payment has not been paid on the agreed date and without 7 days’ prior notice, access to all classes and resources will be suspended immediately until the payment is made.
You risk losing your place if enrolment and any tuition fees are not paid on the agreed payment date.
Notice Period to leave TheArabiClub.com & Refund Policy
No refunds will be given for minor disruptions to the provision of lessons. However, please note that you may have a right to a refund for more significant disruptions under The Consumer Rights Act 2015. Please see below for details.
Notice to leave the TheArabiClub.com must be done in writing by completing the Leaving Form on the parent portal.
- Monthly Payments
If you are on a monthly payment plan and decide to leave us, your exit date will be the end of the month provided that you have notified us by the 15th of the month. If you notify us after the 15th, your exit date will be the end of the following month. Please note that we do not offer any refunds for any lessons not attended.
- Termly Payments
If you are on a termly payment plan, you must notify us at least 28 days prior to the end of term if you wish to leave. Termly payments are paid in advance of term commencing and they are non-refundable. Please note that we do not offer any refunds for any lessons not attended.
- Yearly Payments
If you decide to pay yearly, you will might be entitled to a refund of payments if you do not wish to continue with us beyond the end of the term you are currently enrolled in. You must notify us in writing 28 days prior to the next commencing term. We will deduct £75 off the remaining £150 or £300 balance, depending on the notice date.

If a payment has not been paid on the agreed date and without 7 days’ prior notice, access to all classes and resources will be suspended immediately until the payment is made.
You risk losing your place if enrolment and any tuition fees are not paid on the agreed payment date.
Re-enrolment
If you have been with TheArabiClub.com in the past and wish to re-enrol, you need to re-register again.
Confidentiality
We understand the importance of pupil privacy and it is entrusted that any publication, including photographs, videos and other posts by TheArabiClub.com on our website or on social media will be in the best interests of pupils and require parental consent. By agreeing to our Terms and Conditions, you give consent for your child to appear in recorded lessons if they choose to use the microphone or webcam feature of the virtual classroom. These recorded lessons may be viewed by other pupils of TheArabiClub.com however they will not be shared externally.
Internet Security
TheArabiClub.com will take all reasonable steps to ensure that your child uses the facilities of the school platform for appropriate purposes, but your child will be held accountable for any misuse. Deliberate misuse will be treated as a breach of TheArabiClub.com rules which will be investigated and may result in the expulsion of a pupil from the school.
Pupils will use YouTube and other resources from the internet as part of their lessons. The school will never direct anyone to anything that is not educational. It is the parents’ responsibility to ensure that they have appropriate content controls and internet security software to protect their child from inappropriate online content.
We cannot always guarantee that pupils in non-UK countries will be able to access UK content online.
Usernames and Passwords
Pupils shall not share links, logins or social media handles with other pupils. If pupils wish to find each other outside our system, they will have to go through TheArabiClub.com office and the other pupil’s parents.
Study Environment
Parents are responsible for ensuring their child has access to an appropriate location from which to study. TheArabiClub.com is not responsible for the home (or any other) study environment. It is the responsibility of pupils, parents and carers to read the School Handbook and ensure that any additional materials such as textbooks are purchased as required.
Parents are responsible for ensuring that their child attends lessons. Parents must also ensure that their child has access to the internet and the correct technology to take part in lessons. The computer and software requirements are set out in the School Handbook which can be found on the parent portal. Refunds will not be given for poor internet connection or if there are issues with the device that the pupil is using.
If pupils are unable to attend a live lesson a parent or carer must notify the school using the absence form. If a pupil misses a live lesson, they are expected to watch the recording of that lesson at a later date. If a pupil misses a lesson because of an individual issue, then they are expected to watch the lesson recording.
Cancellation of Lessons
Lessons that are cancelled due to the fault of the school (e.g. teacher connection, system break down, staff illness) will either be covered by a supply teacher or made up in the form of cover work or recorded lessons. My Online Schooling does not offer refunds for cancelled lessons that are supplied with one of the provisions listed above.
In order to continue the provision of lessons, My Online Schooling reserves the right to make changes to the timetable.
Behaviour
TheArabiClub.com has authority to deal with all disciplinary matters arising and to delegate disciplinary powers amongst the staff as appropriate. Parents and pupils accept such authority of the TheArabiClub.com unconditionally.
Parents and pupils are responsible for adhering to the school’s Behaviour Policy, which is available on TheArabiClub.com website.
TheArabiClub.com reserve the right to exclude pupils as a result of the poor behaviour of the pupil or inappropriate or abusive behaviour of the parent.
Data Protection
TheArabiClub.com will use the information you provide to us relating to you and your child, together with other information, for administrative monitoring, accounting, planning and control of the curriculum and examinations, publication of examination results, provision of references, analysis for education and management purposes and other purposes necessary for the good management of the school and the welfare of its staff and pupils. We may disclose some or all of this information to service providers and agents for these purposes.
You agree and consent to our processing of the information you and your child provide to us for the purposes outlined above which shall include, where necessary, the processing of sensitive data which is that relating to your child’s health, their religious denomination and ethnic or racial origin.
TheArabiClub.com has a policy of recording all academic lessons. This policy is believed to be in the best interest of all pupils and teachers as well as parents. All lesson recordings remain securely on our software provider’s servers. Recordings will only be shown to pupils who were enrolled in a course at the time of a lesson, or TheArabiClub.com staff.
Parents give TheArabiClub.com permission to contact any exam centres where a pupil has sat exams and request the exam results be released to TheArabiClub.com.
TheArabiClub.com reserve the right to change the terms and conditions under which this website is offered at any time. Any such change will be effective once reflected in the terms and conditions or any other material part of the site and published on the site. You should check the site periodically to ensure that you are aware of and complying with the current version.
External Service Providers
TheArabiClub.com uses third party services to provide various functionalities on the platform. By agreeing to TheArabiClub.com terms of service, you also expressly agree to the following third parties’ terms and policies:

RULES FOR ONLINE CONDUCT
You agree that you are fully responsible for your own use of the Site and for your user postings, which shall include all content submitted, posted, published or distributed on the Site by you or by other users of the Site, including but not limited to all forum posts, wiki edits, notes, questions, comments, videos and file uploads (the “User Postings”). You agree that you will use the Site in compliance with the Agreements and all applicable local, national and international laws, rules and regulations, including copyright laws, and any laws regarding the transmission of technical data exported from your country of residence.
As a condition of your use of the services offered by Edraak on the Site, you hereby undertake that you will not use the Site in any manner intended to damage, disable, overburden or impair any Edraak server or the network(s) connected to any Edraak server or to interfere with any third party’s use and enjoyment of the Site. You may not attempt to gain unauthorized access to the Site, other accounts, computer systems or networks connected to any Edraak server through hacking, password mining or any other means. You may not obtain or attempt to obtain any materials or information stored on the Site, its servers or associated computers through any means not intentionally made available through the Site.
THE FOLLOWING LIST OF ITEMS IS STRICTLY PROHIBITED ON THE SITE:
- Content that defames, harasses or threatens others;
- Content that discusses illegal activities;
- Content that infringes a third party’s intellectual property, including, but not limited to, copyrights or trademarks;
- Profane, pornographic, obscene, indecent or unlawful content;
- Advertising or any form of commercial solicitation;
- Content related to partisan political activities;
- Viruses, trojan horses, worms, time bombs, corrupted files, malware, spyware or any other similar software that may damage the operation of another's computer or property; and
- Content that contains intentionally inaccurate information or that is posted with the intent of misleading others.
Furthermore, you agree not to scrape, or otherwise download in bulk, any Site content, including but not limited to a list or directory of users on the system, on-line textbooks, User Postings or user information. You agree not to misrepresent or attempt to misrepresent your identity while using the Site.
Any violation of the above list of prohibitions shall entitle TheArabiClub.com to terminate you use, access and/or participation to the Site without prior notice.
